Platform2 Needs You!


platform2 logo Platform2 is growing and the number of volunteers applying and travelling is increasing. We are therefore looking for an additional Administrative Assistant to work in the International Operations office, in Farringdon, London.

 

International Operations are responsible for:

  • Processing volunteer applications - from inputting to interview and selection
  • Managing all flight, visa, insurance, and medical arrangements
  • Setting up and managing all projects in country.

The post is a fixed term employment contract from January 2010 to September 30th 2010. An option to extend beyond this time may be available subject to performance and the extension of the programme.

The main purpose of the role is to provide all administrative support within a team of 8 people. The role reports to the Senior Coordinator.

Applications

  • Dealing with all calls from prospective and current volunteers
  • Maintaining all paper filing systems and archiving
  • Inputting all application forms into Pivotal
  • Following up references by phone
  • Dealing with all acceptances and rejections.

Interviews

  • Preparing interview packs for interviewers and processing interview report
  • Booking travel and accommodation for regional interviewers
  • Booking interview venues and maintaining information in the system

Logistics

  • Preparing departure day info packs for all volunteers
  • Handling the printing and binding of The Handbooks
  • Acting as Platform2 flight rep for some departing flights
  • Processing all visa applications and handling their delivery and collection
  • Handling the processing of medical and insurance information
  • Typing up of evaluation reports from each volunteer group.

The role requires someone who:

  • is good with all standard Microsoft packages eg Work, Excel and PowerPoint
  • has good typing skills (minimum 45 words a minute)
  • is educated to degree level
  • has a minimum 12 months office based administrative experience
  • has a proven ability to work effectively in a team
  • has a strong ability to multi-task and work to tight deadlines
  • has a proven ability to use initiative and work without supervision.

Please Note: We will be interviewing on Tuesday 24th November in London. You will need to be available for that and to start work in the first week of January. We will not be able to pay for travel to interview, nor for re-location should you have to move.
